Ashley’s Furniture Account Integration

Overview

Ashley Furniture is a furniture company that designs, manufactures, and sells a wide range of furniture and home decor products. Ashley Furniture is known for its affordable prices, stylish designs, and quality craftsmanship. The company operates more than 1,000 retail locations in over 123 countries around the world, making it one of the largest furniture retailers in the world. 

Integrating Ashley allows you to sell on their platform through Sellercloud. This integration works through EDI documents transmitting information between the two services. The following plugins are currently available:

  • Order Import – Imports orders from Ashley to Sellercloud in EDI 850 and 820 format.
  • Order Acknowledgement – Sends order acknowledgment to Ashley in EDI 855 format.
  • Tracking Export  – Exports tracking information to Ashley in EDI 856 format.
  • Invoice Export – Exports invoices to Ashley in EDI 810 format.
  • PDF Invoice – Creates printable PDF packing slips.
  • Credit Memo Export – Exports credit memos to Ashley in EDI 812 format.
  • Inventory Export – Exports inventory to Ashley in EDI 846 format.

If necessary, you can contact Sellercloud Support to request additional customizations or other plugins for this integration. Such customizations are billable, and you will be provided with a quote.

Prerequisites

Before you can integrate Ashley with Sellercloud, complete the following requirements.

We recommend creating a Company where you will set up the Custom Company Settings and automate the plugins with Scheduled Tasks.

Ashley Support

Before you can integrate Ashley with Sellercloud, contact them for your FTP details: server name, username, and password.

Custom Company Settings

Create the following Custom Company Settings:

  • STControlNumber
  • GSControlNumber
  • ISAControlNumber
  • Ashley_ISAID – obtain from Ashley.
  • Ashley_Qualifier – Set to ZZ.
  • Ashley_CustomerISAID – Enter a unique phone number.
  • Ashley_RecieverQualifier – Set to 12.
  • Ashleys_VendorNumber 
  • Ashley_Customer_Number
  • Ashley_DUNS_Number
  • AshleyRemittanceEmailTo
  • AshleyIsInProduction
  • Ashley_ImportOrdersAsPaid
  • Ashleys997UploadFolder
  • Ashley_AlwasySendProductIDRequested – Set to True to always send the original product IDs to Ashley and prevent discrepancies. This ensures that they won’t reject any EDI documents, such as ones related to tracking, for example.
  • Consider replenishable products – Defaults to False. If the Available Qty is 0 or less and this setting is True, the plugin will export the quantity from the next setting.
  • Replenishable qty – The quantity exported if Available Qty is 0 or less and Consider replenishable products is True.
ISAControlNumber, GSControlNumber, and STControlNumber can all start at 1. The tracking and inventory exports will increment this number accordingly as jobs are processed.

Sellercloud Support

You must contact Sellercloud Support and request:

  1. To install the Ashley plugins on your server.
  2. The following custom product and order columns:

Custom Product Columns

  • Ashley_Enabled – Set to True to enable a product for Ashley.
  • Ashley_SKU – a product’s SKU at Ashley.
  • Ashleys_NextAvailableDate (if not populated, will send 30 days from today)
  • Ashleys_NextAvialableQty (if not populated, will send 1 as the next Available Qty)

Custom Order Columns

  • Ashley_InternalVendorNumber
  • Ashley_InternalOrderNumber

Order Import

This plugin imports order data from Ashley to Sellercloud in EDI 850 format and imports remittance from EDI 820.

Automate Order Import

To create a Scheduled Task that regularly imports orders from Ashley to Sellercloud:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Import Orders.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the Create Orders For Company menu and select the company you designated for this integration.
    2. Click the Plugin menu and select Ashleys EDI850 and EDI820 Order Import Plugin.
  7. In the Import Options section, set Import From to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable button.
  10. Click Save on the top right.


Order Acknowledgement

This plugin sends order acknowledgment to Ashley following the 855 EDI format and marks orders as acknowledged after export. The plugin can handle Split Orders.

Before you move on, create a Saved Search for orders filtered by:

  • Company – Choose the Ashleys company
  • Shipping Status – Unshipped
  • Exported – Not Exported
  • Invoice Uploaded – No
  • Order Ack (Accept) – No

Automate Order Acknowledgement

To create a Scheduled Task that regularly sends order acknowledgment from Sellercloud to Ashley:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Export Orders.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the User ID menu and select your ID.
    2. Click the Saved Search menu and select the saved search you created earlier.
    3. Click the Export Via menu and select Ashleys EDI855 Order Ack Export.
    4. Check This is Order Ack (Accept).
  7. In the Export Options section, set Export To to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable toggle button.
  10. Click Save on the top right.


Tracking Export

This plugin exports tracking from Sellercloud to Ashley following the 856 EDI format. The plugin can handle Split Orders – when an order is split, any child orders get the tracking combined with the parent’s order export.

Before you move on, create a Saved Search for orders filtered by:

  • Company – Choose the Ashley company
  • Order Status – InProcess Or Completed
  • Shipping Status – FullyShipped
  • Payment Status – Charged
  • Tracking Uploaded – No

Automate Tracking Export

To create a Scheduled Task that regularly exports order tracking from Sellercloud to Ashley:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Export Orders.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the User ID menu and select your ID.
    2. Click the Saved Search menu and select the saved search you created earlier.
    3. Click the Export Via menu and select Ashleys EDI856 Order Tracking Export.
    4. Check Mark Orders As Exported.
    5. Check This Is Tracking Export.
  7. In the Export Options section, set Export To to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable toggle button.
  10. Click Save on the top right.


Invoice Export

This plugin exports invoices from Sellercloud to Ashley in EDI 810 format.

Before you move on, create a Saved Search for orders filtered by:

  • Company – The company you created for the integration
  • Shipping Status – Fully Shipped
  • Order Status – InProcess Or Completed
  • Invoice Uploaded – No
  • Tracking Uploaded – Yes

Automate Invoice Export

To create a Scheduled Task that regularly exports invoices from Sellercloud to Ashley:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Export Orders.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the User ID menu and select your ID.
    2. Click the Saved Search menu and select the saved search you created earlier.
    3. Click the Export Via menu and select Ashleys EDI810 Order Invoice Export.
    4. Check This Is Invoice Export.
  7. In the Export Options section, set Export To to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable toggle button.
  10. Click Save on the top right.


Order PDF Invoice

This plugin creates packing slips with information about your orders and the products they include. This plugin doesn’t require a scheduled task.

To set up the invoice plugin:

  1. Go to the Company Settings of the company where you set up Ashley.
  2. Click Toolbox and select Invoice Settings.
  3. Click Per Channel Preferences.
  4. For Website, select Plugin > Ashley Packing Slip.
  5. Click Save.


Credit Memo Export

This plugin exports credit memos from Sellercloud to Ashley in EDI 812 format.

Before you move on, create a Saved Search for orders filtered by:

  • Company – Choose the Ashley company
  • Order Status – Completed
  • Exported – Not Exported
  • Payment Status – Partial or Full Refund
  • Invoice Uploaded – Yes
  • Tracking Uploaded – Yes

Automate Credit Memo Export

To create a Scheduled Task that regularly exports invoices from Sellercloud to Ashley:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Export Orders.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the User ID menu and select your ID.
    2. Click the Saved Search menu and select the saved search you created earlier.
    3. Click the Export Via menu and select Ashleys EDI812 Credit Memo Order Export.
    4. Check This Is Invoice Export.
  7. In the Export Options section, set Export To to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable toggle button.
  10. Click Save on the top right.


Inventory Export

This plugin exports inventory from Sellercloud to Ashley in EDI 846 format. 

Make sure to enable your products for Ashley by setting their Ashley_Enabled Custom Column for Products to True:

  • For one product at a time: go to the Product Details Page > click Toolbox and select Custom Columns > click Edit, update the Ashley_Enabled column, and Save.
  • For multiple products in bulk: follow the steps to Bulk Update Products and use the Ashley_Enabled column – set it to True for all products you want to enable.

Unlike core integrations, plugin integrations don’t require products to be in the company where the scheduled tasks are. The export will include the products you select with your Saved Search

Before you move on, create a Saved Search for products filtered by Ashley_Enabled – True. Optionally, you can add more filters to the search.

Automate Inventory Export

To create a Scheduled Task that regularly exports inventory from Sellercloud to Ashley:

  1. Navigate to Settings > Scheduled Tasks > Manage Scheduled Tasks.
  2. Click the green + icon: Create New Scheduled Task.
  3. Complete as follows:
    1. Click Task Type and select Export Products.
    2. Set the Task Name.
    3. Select the Company.
    4. Select the Start Time.
    5. Click CREATE.
  4. The following message appears at the bottom of your screen: “Scheduled task created successfully. Click Here to configure the task details.” – click the link.
  5. Click the Edit button on the top right.
  6. In the Details section:
    1. Click the User ID menu and select your ID.
    2. Click the Saved Search menu and select the saved search you created earlier.
    3. Click the Export Via menu and select Ashleys Inventory Export EDI 846.
  7. In the Export Options section, set Export To to FTP and fill out the FTP fields.
  8. In the Frequency section, specify the task frequency. For optimal performance, select a range between thirty minutes and one hour.
  9. In the General section, click the Enable toggle button.
  10. Click Save on the top right.
